OVERVIEW

What These Rules Cover

The Scheme Rules below apply to our Denplan adult schemes (Care and Essentials) and the Denplan for Children scheme. They sit alongside the Denplan Member Handbook that you'll receive when you join, which has the formal terms set by Simplyhealth Professionals (Denplan).
Where anything on this page conflicts with the Denplan Member Handbook, the Member Handbook takes precedence as the formal scheme document. The Scheme Rules below explain how we apply the plan in practice at Tangmere.

MEMBERSHIP AND PAYMENT

Membership and Payment

Direct Debit

All schemes operate on monthly Direct Debit, collected by Simplyhealth Professionals (Denplan) on the agreed monthly date. We don't accept cash, card or cheque payment for plan membership.

Membership start date

Your membership becomes active from the first of the month following the date you sign up. You're a member from that date and entitled to the full plan benefits from that date onwards.

Risk band assessment (adult Care plan only)

Adult Denplan Care members are assessed against the standard Denplan risk band criteria at signup. Your assessed band determines your monthly fee. You can request a re-assessment at any time, particularly if you believe your dental health has changed significantly.

Annual fee review

We review our scheme fees annually to ensure they reflect current treatment costs. Any fee changes are communicated to members in advance, typically with at least 30 days' notice.

WHAT'S INCLUDED

What's Included in Each Scheme

The specific inclusions and exclusions for each plan are listed on the individual plan pages:

Denplan Care

Denplan Essentials

Denplan for Children

The general principle: included treatments are those identified as routine maintenance and standard restorative work. Excluded treatments are cosmetic-only, specialist referrals, implants, orthodontics, and treatments requiring specialist materials or lab work outside the plan's scope.

APPOINTMENTS

Appointments and Booking

Routine appointments

Booking fees are not required for routine examination or hygiene appointments included in your plan - these are covered by your monthly membership.

Other appointments

For appointments not covered by your plan (e.g. treatment work for Essentials members, or excluded treatments for Care members), a booking fee is required at the time of booking. This is credited towards the visit cost.

Frequency of routine visits

Your plan covers the frequency of check-ups and hygiene visits recommended by your dentist based on your individual needs. For most patients this is two examinations and two hygiene visits per year, but it can be more or less depending on your specific dental health.

MISSED OR LATE-CANCELLED APPOINTMENTS

Missed or Late-Cancelled Appointments

How much notice you give changes what, if anything, you're charged.
24 Hours' or More

No charge

less than 24 hours' notice

Fee applies

No Notice

Full cost

No charge for cancellations with 24 hours' or more notice.

Less than 24 hours' notice: a fee applies to cover staff wages for the unused appointment time. We'll always try to fill the slot with another patient - if we manage to, no fee is charged.

Missed appointments (no notice) are charged at full appointment cost.

Cancellation fees apply even to scheme members Your plan covers the cost of the appointment when it happens; cancellation fees compensate for staff time that's been allocated to your booking.

Early notification reduces the fee

Any fee for short-notice cancellation is at least 50% lower if you call to advise us before your scheduled appointment time, compared to simply not attending.

ENDING YOUR MEMBERSHIP

Ending Your Membership

Cancellation

Membership can be cancelled at any time. We'd ask for at least 30 days' notice so we can stop the Direct Debit at the right point.

Cancellation by the practice

Membership can also be ended by the practice in specific circumstances - failure to pay, repeated missed appointments without reason, or breach of these Scheme Rules. In practice we'd always discuss any issue with you before taking this step.

Moving away

If you move to another part of the UK, your Denplan membership can be transferred to another participating practice. We'll help with the paperwork.

Resuming after cancellation

If you cancel and later want to rejoin, you'd be reassessed at the time of re-joining. The risk band and monthly fee may be different from your previous membership.

WORLDWIDE EMERGENCY COVER

Worldwide Dental Emergency Cover

The Denplan supplementary insurance scheme provides worldwide dental emergency cover as part of your membership. The exact terms (cover limits, what counts as emergency, geographic exclusions, claims process) are set by the insurer and documented in the Denplan Member Handbook. We don't set or administer this part of the scheme - any claims are made directly to Denplan.

YOUR DENTAL HEALTH AND THE PLAN

Your Responsibilities as a Member

The plans are designed for patients in the maintenance phase of dental care who attend their recommended check-ups and hygiene visits. The plans work financially because regular preventive care reduces the need for expensive treatment over time.
We ask members to:
  • Attend recommended routine appointments
  • Follow the home care advice given (brushing, flossing, anything specific to your case)
  • Tell us about any changes in your medical history that could affect dental treatment
  • Notify us in good time if you can't attend an appointment
Members who consistently miss appointments or fail to follow basic care advice may find their risk band increased at the next review, or in extreme cases their membership not renewed.

Denplan Member Handbook

The Denplan Member Handbook

The Denplan Member Handbook is the formal scheme document, supplied to you when you join. It sets out the full terms of your membership including the insurance elements, complaints procedures, and definitions of what counts as included treatment. Keep it with your other dental records.
If you've lost or never received your handbook, ask reception and we'll arrange a replacement.
